Special Conditions of Hire during COVID-19
Note: These conditions are supplemental to, not a replacement for, the hall’s ordinary conditions of hire.

Legislation
SC1: You, the hirer, will be responsible for ensuring those attending your activity or event comply with current Government Guidelines.
​
SC2: Users and hirers of Stalisfield Village Hall have responsibility for managing risks arising from their own activities when they have control of premises and should take account of any guidance relevant to their specific activity or sector.
​
SC3: You will undertake to comply with the actions identified in the hall’s risk assessment, a copy of which you have been provided. In addition, you must carry out your own risk assessment for your specific activity and provide a copy to the bookings clerk.

SC4: You will ensure that no more than the current government guideline number of people attend your activity/event in order that social distancing can be maintained. Please also be aware your booking may be cancelled should government guidance change with regards to number of participants or type of event permitted.

SC5: On entering the village hall facility users will be encouraged to wear a face covering, specifically within the corridor, kitchen and toilet area due to closer proximity of others. From December 10th 2021 face coverings must be worn in the village hall except whilst you are participating in an exempt activity.

Test, Track & Trace
SC6: You will ensure that you collect contact details of ALL attendees during your period of hire and store these details within a safe place for 21 days. Organisers should ensure that visitors either scan in with the QR code OR give the following information:

the name of the customer or visitor

a contact phone number for each customer or visitor. If a phone number is not available, you should ask for their email address instead, or if neither are available, then postal address

date of visit, arrival time and, where possible, departure time
SC7: You will make sure that everyone likely to attend your activity or event understands that they MUST NOT DO SO if they or anyone in their household has had COVID-19 symptoms in the last 14 days, and that if they develop symptoms within 14 days of visiting the premises they MUST use the Test, Track and Trace system to alert others with whom they have been in contact.

SC8: In the event of someone becoming unwell with suspected Covid-19 symptoms whilst at the hall you should remove them to the designated safe area which is the ladies bathroom and then leave the premises, observing the usual hand sanitising and social distancing precautions.

SC9: Should any attendees become unwell either whilst at the hall or within 14 days of attending the hall, please inform the bookings clerk on 01795 890 415.
Covid Secure & Cleaning
SC10: We will have the right to close the hall if there are safety concerns relating to COVID-19. If this is necessary, we will do our best to inform you promptly and you will not be charged.

SC11: You will be responsible for cleaning the floor, door handles, light switches, window catches, equipment, toilet handles and seats, wash basins and all surfaces likely to be used during your period of hire. This must be completed BEFORE other members of your group or organisation arrive. You must also keep the premises clean through regular cleaning of surfaces during your hire, paying attention to wash hand basins, using either the products supplied or your own ordinary domestic products. You will be required to clean AGAIN on leaving.
Please take care cleaning electrical equipment. Use cloths – do not spray!

SC12: You will keep the premises well ventilated throughout your hire, with windows and doors open where possible. You will be responsible for ensuring they are all securely closed on leaving. The Hall should only be Hired for activities that are in accordance with current Government Guidelines.

SC13: You will be responsible for the disposal of ALL rubbish created during your hire, including tissues and cleaning cloths. Please ensure you empty all Rubbish bins including those in the toilets. and take ALL RUBBISH AWAY WITH YOU TO BE DISPOSED OF OFF SITE.

SC14: Live performances e.g. drama, music carries greater risk of aerosol or droplet transmission. We encourage you to take steps to avoid people needing to unduly raise their voices to each other, within the confines of the building e.g. refrain from playing loud music or broadcasts at a volume which makes normal conversation difficult.
